Inventory and auto-ordering

Inventory that tracks itself. Ordering that runs itself.

Every sale takes its ingredients off the shelf, so you always know what is on hand without counting. When something gets low, the order writes itself, checks every supplier you use, and waits for your tap. Built around your menu, your suppliers and your rules, then run for you.

Every sale updates your stock.

Your menu becomes recipes. A 12 oz oat latte is six ounces of oat milk, an ounce of beans, a cup and a lid. Every time one rings up, those come off the shelf. So the number on the screen is what is actually in the back, all day, without anyone counting.

  • Recipes turn sales into ingredientsWe build your menu in once, with yields and sizes. Every sale from your register or online orders comes off the right items.
  • Count once, then spot-checkOne real count to start. After that a quick spot-check now and then keeps it honest. No more Sunday-night clipboard.
  • Waste, comps and spills, in a tapDropped a gallon? Tap it. The shelf stays true and you see where the money leaks.
  • What is moving, what is notSee what sells by hour and day, what sits, and what is about to run out, before it does.

Oat milk hits its reorder point Thursday. The order drafts itself. Nobody counted anything.

Your rules, built in.

Every shop has rules about what to buy, from whom, and when to ask first. We build yours in, so the order that lands on your phone already follows them. Change a rule and the next order follows the new one.

  • Reorder points you setNever below two cases of beans. Not a guess on a Sunday night.
  • Buy this only from that supplierEven when someone else is cheaper this week. Your reasons are your reasons.
  • Halal, brand, case sizeThe rules that never change get applied every single time.
  • Nothing is placed without youEvery cart waits for your tap. There is no setting that changes that.

Deliveries checked. Prices watched.

Ordering is half the job. The other half is what shows up and what it cost. Your team checks the delivery in on their phone in a minute, and we chase what is short, wrong or suddenly more expensive.

  • Short items caughtThree sleeves instead of four gets flagged at the door, and the credit gets requested for you.
  • Price moves flaggedWhen a supplier raises a price, you hear about it, and the next order shifts if a better one exists.
  • Substitutions and out-of-stocks handledThe auto-buyer finds the next best option under your rules, or asks you.
  • Runs-out warningsA heads-up before anything runs out, with the reorder already drafted.

Everything, built to fit how you run.

Your menu, your suppliers, your rules. Not a plan you pick from a menu.

Inventory tracked from sales

Your menu built in as recipes. Every sale from your register or online orders comes off the shelf on its own.

Waste, comps and spot-checks

Log a spill or a comp in a tap. Spot-check a few items now and then. The number on the screen stays true.

The order writes itself

From what is on hand and what is selling, at the reorder points you set. Nobody counts on a Sunday night.

Every supplier compared

Costco, Sam’s, Sysco, a local distributor, your bakery. Prices checked per item, the best cart drafted.

One tap to approve

The carts wait for you. Nothing is placed without your tap. Ever.

Your rules, built in

Where to buy what, case sizes, halal or brand rules, spend limits. Applied every time.

Deliveries checked in

Your team confirms what arrived on their phone. Short or wrong items get flagged and credits requested.

Run for you

Supplier logins, price changes, out-of-stocks and broken checkouts handled by us. You see carts, not problems.

How it works.

Step 1 · You tell us
Two quick picks and your details. That’s it.

We come back with what we’d build, how it would run and what it would cost. A call only if you want one.

Step 2 · The build
We build it for you.

Your menu as recipes, your suppliers, your rules. You watch the shelf update and the carts draft before anything goes live.

Step 3 · Launch and support
We launch it and keep it running.

Live under your name. Watched daily. Help whenever you call.

Questions owners ask us.

Is it monthly, or can I buy it outright?

Two ways, and the choice is yours. Most clients stay on a monthly subscription: we build it, host it, monitor it daily and keep it current, and you can end it whenever you like. The alternative is a one-time licence, which is the permanent right to run the software rather than ownership of the code behind it. A licence includes a full year of maintenance, renewable after that. Either way it runs under your name and your customer data stays yours. Every build is quoted on its own, because no two are alike.

How does it track inventory without me counting?

Your menu goes in as recipes: what each item uses, in what size. Every sale from your register or online orders takes those ingredients off the shelf. You do one real count to start, then quick spot-checks now and then. The number on the screen is what is actually in the back.

What about waste, spills and comps?

Log them in a tap on the phone. A dropped gallon, a comped drink, a batch that went out of date. The shelf stays true and you see where money is leaking.

Do I have to count everything to start?

Once, with us, and we make it quick. After that the system does the counting. A few spot-checks a month keep it honest.

Does it ever place an order without me?

No. It drafts the carts and waits. Nothing is sent to a supplier until you tap approve, and there is no setting that changes that.

Which suppliers does it work with?

The ones you already use. Costco, Sam’s, Sysco, a local distributor, your bakery. Where a supplier can be ordered from online, the cart is ready to place. Where one can’t, the list is ready and you place it the way you do today.

How does it know what to order?

From what is on the shelf right now and the reorder points you set. The shelf comes from your sales through your recipes, so it is current without counting. We set the reorder points with you and adjust them as you go.

Can it follow my rules about where to buy what?

Yes. Halal from this supplier, never that brand of butter, oat milk only from Sysco, always the case size. Your rules, built in, applied to every cart before you see it.

What happens on delivery day?

Your team checks the delivery in on their phone. Anything short, wrong or damaged gets flagged and we request the credit. Prices that moved get flagged too.

What if a price changes or an item is out of stock?

The draft switches to the next best option under your rules and tells you why. If there is a real choice to make, it asks. Either way you see it before you tap.

Do I need a new register or point of sale?

No. We read sales from what you already use, Square, Toast, Clover and most others. If yours can’t be connected, a one-minute count from your team keeps the shelf current.

What does my team have to do?

Check the delivery in on their phone and log the occasional spill. Ordering, comparing prices and chasing credits are not their job any more.

What happens if something breaks?

We are watching it every day. A supplier login that stops working or a checkout that changed gets fixed on our side, usually before you notice. And you can always call us.

Inventory and ordering that run themselves, on your rules.

Two quick picks and you’ll see what we’d build around your ordering. We usually reply within one business day with what it would cost.
